Who We Are

The University of Auckland Computer Society (UOACS) is a student club based at the University of Auckland, New Zealand. This policy explains what personal information we collect from members, why we collect it, and how we handle it, in line with the New Zealand Privacy Act 2020. Purpose of Collection

We collect personal information to: - Manage club membership - Communicate with members about events, opportunities, and updates - Organise and improve club activities - Maintain accurate membership records We only collect information that is necessary for these purposes.

What Information We Collect

When you sign up for membership, we collect: - First and last name - Email address - Phone number (optional) - University of Auckland UPI and student ID number - Gender - Year of study - Majors studied - How you heard about us - Events you'd like us to host (optional)

How We Store and Protect It

Your information is stored securely in our membership database, hosted in New Zealand and/or on reputable cloud infrastructure with access restricted to current UOACS executive members. We do not store payment information. We take reasonable steps to protect your data from unauthorised access, loss, or disclosure.

Who We Share It With

We do not sell or rent your personal information to third parties. We may share limited membership data (such as member counts) with AUSA as required for club affiliation. We will not share your individual details with any other external party without your consent, except where required by law.

How Long We Keep It

We retain your membership information for the duration of your membership and for up to two years after you leave, in case of administrative queries. You may request deletion of your data at any time by emailing admin@uoacs.co.nz.

Your Rights

Under the New Zealand Privacy Act 2020, you have the right to: - Ask what personal information we hold about you - Request a correction if any information is inaccurate - Ask us to delete your information (subject to any legal obligations) To exercise any of these rights, email admin@uoacs.co.nz.

Changes to This Policy

We may update this policy from time to time. The "Last updated" date at the top of this page will reflect any changes. Continued use of our sign-up form after changes are posted constitutes acceptance of the updated policy.
